Dossier storage via Abacus barcode in DeepO

With this function, documents containing an Abacus dossier barcode can be automatically filed in the correct dossier – directly from the DeepBox Inbox.

How does dossier storage work?

Recognition
As soon as a document with a valid Abacus dossier barcode is uploaded to the DeepBox Inbox, the document type ‘Dossier storage’ is automatically set.

Check in the Editor
The filing information contained in the barcode (client, application, object, dossier) is displayed in the DeepO Editor. These fields are read-only and cannot be changed manually.

Filing
During processing, the document is automatically filed in the corresponding Abacus dossier.

Requirements and setup

• The Abacus Folder structure must be uploaded via the DeepBox master data upload in the Abacus program ‘Q9081 DeepO administration’.
• Dossier storage must be activated under DeepO settings / Box settings / More settings.
• Each box is assigned to an Abacus client. The document must be processed in the corresponding box. Cross-client filing is not possible.
• The Abacus barcode types PDF417, Code 128, DataMatrix and QR code are supported.

What happens with a multi-page PDF with one barcode per page?
If a PDF contains several pages, each with its own barcode, the pages are automatically split into separate documents and stored in the correct dossier. The prerequisite for this is that DeepFlow is activated (identical behavior as for document separation).

Can I select or change the dossier manually?
No, filing takes place automatically based on the recognized barcode. Manual selection of the target dossier is not possible.

What happens if the barcode is invalid?
If the barcode is invalid, for example because the client does not match or the dossier does not exist, processing is blocked. The document remains in the DeepBox and cannot be processed until the error has been rectified.

Are DeepO trainings such as suggestions or keywords used?
No, DeepO training is not used for dossier storage via barcode. However, flows are still executed, for example during automatic processing with the document type ‘Dossier storage’.
