With the address function, people without DeepBox access can upload files to an inbox. This is possible either via an e-mail address (Mail-to-Box) or an upload link (Direct Upload).

This offers a simple yet secure way for partners to easily send documents to a DeepBox for automated processing.

Generate addresses

Addresses can be generated in the toolbar in an Advanced box:

Two channels are available: Upload link or e-mail address. However, either the upload link or the e-mail address can be deactivated for each address. In addition, a purpose can be defined so that the addresses can be better assigned in future.

Direct Upload: Upload link via URL

When the generated address is called up, a protected website opens where documents can be uploaded to the inbox. The text from the description is transferred to DeepBox as a comment.

Mail-to-Box: e-mail address

This e-mail address can be used as the e-mail recipient. Attached documents are automatically loaded into the inbox and the email text is adopted as a comment.

Tip: This email address can also be stored as an invoice recipient in DeepAdmin to send DeepCloud invoices directly to the inbox of your box. Customers also use this email as a recipient in the scanner to load physical documents directly into the inbox.

Prerequisites

The address function is only available in “Advanced Boxes” and cannot be used in free “Simple Boxes”.

In addition, only people with admin or owner rights or organization rights on boxes can generate new addresses and manage existing addresses.

Manage addresses

Addresses can be managed in DeepAdmin in the box settings.

The following information is displayed:

  • Overview of all addresses
  • E-mail link and URL can be copied
  • The creator of the address is displayed
  • The last time the address was used is displayed
  • The number of times the address has already been used is displayed

The following actions can also be carried out by clicking on “Edit”:

  • The e-mail link or URL can be deactivated
  • The intended use can be changed
  • The address must be completely deleted

Note: Ideally, you should set up forwarding to the inbox address in your own mailbox and not communicate the cryptic address directly to all suppliers. This way, the invoices are sent to your own mailbox as usual and automatically forwarded from there to the DeepBox. Advantages of this procedure:

  • Centralized control: All receipts end up in your own mailbox and can be easily managed there.
  • No additional work for the suppliers: Suppliers do not have to be contacted individually.
